OXFORDSITTERS TERMS AND CONDITIONS 

These Terms and Conditions form a legally binding contract between ‘Oxfordsitters’ and their Clients upon issue.

DEFINITIONS

“Agent” Oxfordsitters who are an introductory agency who place Candidates with Clients.

“Client” The person, company or organisation using the services of The Agent to be matched with a suitable candidate.

“Candidate” the person who The Agent introduces to The Client for employment

“Oxfordsitters” acts as an introductory service between Clients and Candidates only

CONTRACT

These terms and conditions apply to the provision of a babysitting service by Oxfordsitters to The Client.

Any variation to these Terms and Conditions must be agreed by Oxfordsitters and The Client in writing.

REGISTRATION

Clients are required to complete an online registration form prior to making a booking.

Clients are required to complete the family registration form upon making a booking to enable The Agent to match The Client with a suitable candidate.

FEES

The Client is required to pay a yearly subscription fee to the agency to enable The Agent to provide The Client with a suitable candidate. A separate booking fee applies each time The Client requests a booking. The cost of The Candidate is required to be paid at the end of the babysit session.

All Clients must register online with The Agent and pay the booking fee prior to bookings being made (please see fee structure)

Membership fees and one off bookings payments are to be made via Paypal or bank transfer on the Oxfordsitters website, www.oxfordsitters.co.uk

1 sit booking £15

6 sit bookings £70

10 sit bookings £100

As A Client of ‘Oxfordsitters’ I agree to pay The Candidate at the end of each booking in cash. Hourly rate is dependent on the location, The Candidate’s qualifications and experience, currently between £8-£10 per hour.

One off booking requirements are to be made via the ‘Oxfordsitters’ website and require an annual subscription.

Booking payments are to be made for each singular booking.

BOOKINGS:

The Client must make a booking for a babysit session at least 72 hours in advance of the required date. Requests made after this time period may not be fulfilled. The Agent will endeavour to provide a service at short notice but cannot always guarantee A Candidate will be available.

Bookings must be for a minimum of 3 hours unless prior arrangement for a shorter period is agreed, in the event of a booking being less than 3 hours The Client must pay The Candidate for the full 3 hours.

In the unlikely event that A Candidate becomes unwell or is unable to fulfil a booking for any reason The Agent will endeavour to send another Candidate. If this is not possible a full booking refund will be issued or credit for a future booking will be logged.

If the child to be cared for is unwell before the booking The Client is required to inform The Agent who will judge whether it is suitable for The Candidate to attend. If the child becomes unwell during the booking The Candidate will contact the Client to discuss the situation and should The Candidate feel the Client needs to return this must happen as soon as possible.

The Agent will inform The Client as soon as possible if they cannot provide A Candidate for the booking, booking fees will be refunded if The Agent cannot fulfil your request.

Clients are able to meet with The Candidates before a booking. The Agent will arrange a 60 minute visit at the convenience of The Client and The Candidate. The Candidate must be paid for this time at their usual hourly rate.

Clients must pass on all relevant information regarding their children eg routines, allergies etc to The Candidate at the start of the session, at the initial meeting and using the family registration form.

For bookings made at non-residential venues or in areas where parking is restricted it is The Client’s responsibility to arrange and pay for parking, provide parking permits or inform The Agent if no parking is available.

Following the first booking The Agent will endeavour to book the same Candidate to offer continuity for your family, this may not always be possible in which case The Agent will try to match you with someone equally suitable for your family.

Clients must not approach Candidates in an attempt to make private bookings with The Candidate. Please be respectful of this as it could lead to The Candidate losing their role with the agency and Client’s having their registration cancelled.

CANDIDATES:

The Agent recruits suitable Candidates following safer recruitment procedures set by OSCB (Oxfordshire Safeguarding Children Board).

All Candidates will be experienced childcare practitioners, who are vetted and reference checked, hold a suitable First Aid qualification and a current DBS check.

All Candidates are required to adhere to the Terms and Conditions set by The Agent.

CANCELLATIONS:

Clients wishing to cancel a booking are asked to do so at their earliest convenience so alternative work may be found for The Candidate. We regret that booking fees cannot be refunded due to cancellations.

In the unlikely event that A Candidate becomes unwell or is unable to fulfil a babysit session for any other reason The Agent will endeavour to send another Candidate. If this is not possible a full booking refund will be issued.

In the unlikely event that we are unable to fulfil a booking request the booking fee will be refunded in full.

LIABILITY:

The Agent is not liable for any losses (direct or indirect) incurred by The Client including loss of earnings if A Candidate should not be able to fulfil a booking. This includes last minute cancellations.

Oxfordsitters act as The Agent, we take no responsibility for The Candidate’s actions.

Oxfordsitters accepts no responsibility of personal damage or loss incurred to Clients using the service as a result of A Candidate’s behaviour.

CONFIDENTIALITY:

All information provided by The Client will be treated as strictly confidential.

Relevant information from the family information form will be shared by The Agent with The Candidate, all Candidates have signed a statement of confidentiality prior to being accepted as a Sitter with The Agent.

Records of all registrations will be treated as strictly confidential.

Records of Clients who have not used the service for over 2 year will be destroyed.

Oxfordsitters are a registered member of Information Commissioner’s Office (ICO) compliant with the Data Protection Act.
